Operations Manual - In-Season Home Comp. Rescheduling

Procedure for Rescheduling Home Competitions 

When a home competition must be rescheduled due to inclement weather, unplayable field conditions, or similar issues, the following steps should be followed: 

  1. Initial Consultation 
    The head coach consults with their Sport Administrator to discuss the need for rescheduling. 

  1. Coordination with Opponent 
    The head coaches from both schools collaborate to identify an alternative date, time, or location. 

  • If they cannot agree, the Sport Administrator will contact the opposing school’s Athletic Director and the VCAR to finalize options. 

  1. Coaches’ Proposed Date/Time 
    Once a new date, time, or location is agreed upon by the coaches, the head coach informs their Sport Administrator who will then approve or deny the proposed date. 

  1. Feasibility Assessment 
    The Sport Administrator circulates the proposed change to all relevant staff—including the Associate AD for Facilities, Senior Woman Administrator (SWA), Athletic Trainers, Transportation Coordinator, Equipment Coordinator, and Sports Communications—to verify availability and logistical feasibility. Each department is responsible for a prompt response and appropriate due diligence. 

  1. Officials Assignment 
    The Assistant AD for Sports Communications notifies the assignor of officials of the revised date and time. 

  1. Final Notification 
    The Sport Administrator (or designee) issues a comprehensive email confirming the new arrangements to: 

  • UMass Boston head coach 

  • Athletic trainers 

  • Sports Information Office 

  • Associate AD for Facilities 

  • SWA 

  • Business Office Manager 

  • Transportation Contact 

  • Equipment Coordinator 

  • Conference Office (if applicable) 

  • Visiting team’s Athletic Director 

  • Visiting team’s Head Coach 

  • Visiting team’s Sport Supervisor (if applicable) 

  • Visiting team’s Scheduling Coordinator
