In the first week of June, the Assistant Athletic Director for Compliance and Student-Athlete Development will distribute the New Student Add-On Form to all head coaches. This form is required to be completed with both new incoming student-athlete and returning student-athlete information and must be submitted no later than June 30.
For each new, incoming student-athlete, the following information must be provided:
All returners must be listed on the second tab of the spreadsheet with the following information:
This information is necessary for the Compliance Office to determine which student-athletes will be carried over into the new academic year. The data submitted will be used to roll over rosters in ARMS and to maintain accurate roster counts. Timely and accurate submission of this form is essential to ensure that all student-athletes are correctly documented for compliance, certification, and eligibility purposes. Coaches are responsible for ensuring all information is submitted by the stated deadline.
The New Student Add-On Form is due no later than June 30. After that deadline, any additions to or removals from rosters will require submission of the Change of Roster Form. Please refer to the Change of Roster Process for further details.
After reviewing the submitted New Student Add-On Form, the Compliance Office will generate each team’s updated roster in ARMS. Incoming freshmen and transfers will be marked as "Incoming" to notify the Sports Medicine staff to assign the appropriate medical workflows. Returning student-athletes will be listed as members of the "Official Roster."
The ARMS roster will be shared with the head coach and will be updated in real time as student-athletes complete their required paperwork for the upcoming year. This system allows coaches, Sports Medicine, and Compliance to track each student-athlete’s progress in real time, identifying what has been completed and what remains outstanding.
ARMs records update for NCAA compliance and sports medicine using a color-coded system – red and green.
A student athlete CANNOT practice or compete while a section is red, unless the Compliance Office gives specific instructions.
Head coaches are expected to check their team’s ARMS roster daily for updates or changes. If a student-athlete needs to be removed from the roster or is no longer on the team, the head coach must submit a Change of Roster Form via ARMS.
The Compliance and Sports Medicine Offices will review all required documentation for each student-athlete prior to their season of participation, with priority given to fall sports in August due to their earlier start.
Sports Medicine forms must be reviewed and approved by an athletic trainer to reflect a “green” status in ARMS. While Compliance approval is not required for a form to turn green, if the Compliance Officer identifies an issue during their review, the form may be reassigned for correction—changing the student-athlete’s status back to red.
Academic Eligibility:
The NCAA requirements call for minimums. Each major has different requirements. It is important to know that in order to graduate in 4 years you must successfully pass 30 credits per year. If you successfully pass 24 credits per year it will take you 5 years to graduate. Below are important terms that student athletes should be familiar with:
-
For a student-athlete to compete or practice the student athlete needs to be enrolled as a full-time student. During the regular academic year, a student athlete must complete a minimum of six progress towards degree credit hours per regular academic semester to be eligible for the next academic semester. A student athlete must also pass a minimum of 24 progress towards degree credit hours during the academic year, including the winter/summer session, to be eligible for the next academic year.
Below is an important sequence, beginning with first semester freshmen student-athletes, detailing their credit hour and GPA requirements:
After first term of enrollment:
After second term of enrollment:
After third term of enrollment:
After fourth term of enrollment:
After fifth term of enrollment:
After sixth term of enrollment:
After seventh term of enrollment:
After eighth term of enrollment:
After ninth term of enrollment (if a student-athlete has not exhausted eligibility):
After tenth term of enrollment (if a student-athlete has not exhausted eligibility):
Regarding student-athletes who either transfer into UMass Boston, or compete while enrolled as a graduate student/graduate level coursework, the information below would be applicable:
In general, all student-athletes must also adhere to the following standards:
1. A student-athlete should maintain a good academic standing with the institution.
2. Unless in their final term of enrollment, a student-athlete must be enrolled full time during the regular academic year in order to maintain athletic academic eligibility.
3. As an undergraduate student, a student-athlete must be enrolled in a minimum of 12 credit hours to maintain full-time enrollment; as a graduate student, a student-athlete must be enrolled in a minimum of 9 credit hours to maintain full-time enrollment.
If a student-athlete drops below full-time status during the regular academic term, he or she will immediately forfeit eligibility to compete, practice or participate in most team activities. As a result, it is important that all class schedule changes be made with the assistance and permission of the Assistant Athletic Director for Student Athlete Academic Success. A student-athlete may NOT drop a class until he or she meets with the Major Advisor and receives specific written permission by the Assistant Athletic Director for Student Athlete Academic Success.
ARMS:
ARMS profiles will be updated and reflect eligibility. ARMs profiles will allow sports medicine and the compliance office to communicate completion of materials while also monitoring eligibility requirements. Coaches are required to check their team status in ARMs to verify eligibility of athletes for practice and competition.
Sports Medicine:
All student-athletes must submit the following items via ARMS in order to be fully cleared for practice and competition. Any student added after that will be subjected to the Roster Addition Policy for full clearance.
Upon successful upload of these items, student-athletes will comply with the sports medicine requirements.
Compliance:
All student-athletes must, along with being academically eligible to compete, complete the sports medicine, UMB compliance paperwork, the NCAA compliance paperwork AND attend a compliance meeting and sexual assault training. Once all materials are complete the student athlete will be marked eligible.
